Ark Total Wealth is an established Sydney-based wealth management and accounting firm serving high-net-worth clients across Australia. Despite strong client relationships built on word-of-mouth referrals, the business was held back by three compounding problems.

First, their public-facing website was over eight years old, built on a legacy CMS, and looked noticeably dated next to competitors. New prospects researching wealth management firms online were quietly choosing competitors with more professional digital presence — a pattern the partners only noticed after analysing why their referral-to-consultation conversion rate had been steadily declining.

Second, their internal work monitoring was scattered across a patchwork of tools: Monday.com for task tracking, Harvest for time, Excel for utilisation, Google Docs for client reviews, and a separate spreadsheet for advisor capacity planning. Partners had no single view of what each advisor was working on, which clients were in progress, and whether the firm was profitable on any given engagement.

Third, the firm was spending more than $38,000 a year across an accounting SaaS stack — Xero Practice Manager, FYI Docs, NowInfinity, a separate workflow tool, and half a dozen smaller subscriptions — and the team still had workarounds for everything. Accountants were exporting data from one tool, reformatting it in Excel, and importing it into another multiple times a day.

We redesigned Ark's brand identity logo refinement, colour system, typography rules and rebuilt their marketing website on Next.js with a custom CMS. The new site leads with the firm's actual advisors, real portfolio outcomes, and a clean prospect journey from education content through to consultation booking.

Work monitoring and operations platform

A multi-faceted work monitoring system tailored to how wealth advisors and accountants actually operate. It combines client case management, project and milestone tracking, time capture (with automated entry from calendar and email activity), advisor capacity planning, utilisation dashboards, and real-time profitability reporting per client and engagement. Partners now see firm-wide performance on a single dashboard who is overloaded, who has capacity, which clients are profitable, and which engagements are slipping.

Custom accounting package

We replaced the bulk of their SaaS accounting stack with a purpose-built accounting and wealth management platform. It handles client onboarding and KYC, document collection and classification, recurring compliance workflows (BAS, tax returns, SMSF audits), engagement letters with e-signature, automated checklists per service type, and an integrated client portal where clients upload documents, review statements, and sign off on deliverables. For the wealth side, we built portfolio dashboards that pull from existing data feeds and present client holdings, performance, asset allocation, and upcoming review dates in a single view.
