Gorayadoors is one of Sydney's busiest suppliers of architectural doors, windows, frames, hardware, and associated furniture, processing over 200 jobs a month for builders, renovators, and commercial clients. The business had grown fast — faster than its internal systems could keep up with.
Quoting was done in Excel by two senior estimators who had been with the business for more than a decade. Every quote was an artisan exercise: line items typed by hand, dimensions double-checked against the supplier catalogue, and pricing rules held mostly in the estimators' heads. Quote turnaround times had crept from same-day to five or six working days, and the team had started losing commercial contracts to faster competitors.
Stock was tracked on paper in the warehouse and reconciled to a spreadsheet once a week — usually late. Overselling happened regularly. Delivery planning was done on a whiteboard, with drivers given handwritten run sheets each morning. Proof of delivery was a signed paper docket that sometimes made it back to the office and sometimes didn't. Margin analysis at a job level was effectively impossible, so the partners could not tell which customers, product lines, or delivery areas were actually making them money.
The business also looked smaller than it was. The website was generic, the vehicle signage was inconsistent, and commercial clients had told them directly that they appeared less professional online than their main competitor.

One platform from lead to last-mile delivery.

CRM and quoting
A full CRM covering leads, contacts, and team-based account management. A multi-step quoting engine with industry-specific product attributes — dimensions, fire ratings, materials, finishes, hardware kits — plus versioned quotes, clonable templates, and volume pricing rules baked in. Public quote pages customers can open in a browser, review, and accept online, with engagement tracking that tells the sales team when a quote has been opened and which sections the customer spent time on.
Invoicing and Xero integration
One-click conversion from accepted quotes to invoices, full two-way Xero sync, and staged invoicing for progressive deliveries.
Inventory and stock management
Real-time stock levels, reorder alerts, multi-warehouse support, bill-of-materials workflows for composite products, and automatic stock reservation at the point a quote is accepted — so the warehouse never oversells.
Site management
Because Gorayadoors' customers are often builders running five or ten active construction sites simultaneously, we built a dedicated site management layer. Each customer has multiple sites; each site has its own quoting history, delivery requirements, access instructions, site-specific contacts, and a live fulfilment status (quoted, in production, scheduled, delivered, installed). Drivers see site-specific notes and photos before they arrive.
Delivery management
Delivery runs are organised by postcode and suburb, with drag-and-drop load planning and route optimisation to minimise drive time. GPS tracking lets the office see every truck in real time. Customers receive automated SMS notifications with delivery ETAs. Drivers capture photos, signatures, and GPS-stamped proof of delivery through the mobile app, with partial delivery recording for jobs that arrive in multiple drops.
AI margin analysis
Every quote is automatically scored for profitability based on product mix, delivery distance, and historical cost data. Quotes falling below target margin thresholds are flagged before they are sent. Customer-level and product-level profitability reports identify the most valuable accounts and the least profitable SKUs.
Brand refresh
A new logo and colour system, vehicle wraps, uniforms, quote and proposal templates, a redesigned website aimed squarely at commercial clients, and a social media template system.

Quote turnaround dropped from 5 to 6 days to same-day for standard jobs, and under 48 hours for complex multi-site builds. Zero overselling since inventory reservation went live, down from 8 to 12 incidents per month. 65% increase in commercial contract enquiries after the brand and website refresh, including the business's first $50k+ commercial contract — where the client explicitly cited the more professional presentation as a trust factor.
22% increase in average quote value after AI margin flagging pushed estimators to adjust underpriced quotes before sending. Admin time cut by approximately 60% through quote-to-invoice automation and Xero sync.
